Know Before You Go
A quick list of things to be aware of for a successful market.Thank you for supporting the 2025 Southwest Flooring Market! We look forward to welcoming you at the Loews Arlington Convention Center. In preparation for market, please make sure you are aware of the following details:
Registration
- If you pre-registered for market, you will receive a barcode email the week of market. Bring this email (mobile or print) with you to scan at registration and obtain your badge.
- All exhibitors need to come to the registration in the level 1 exhibit hall lobby. Exhibitor Appointed Contractors and set-up staff will need to obtain a wristband at registration. Only exhibiting staff that will be present on market days will need to be registered for a badge.
Logistics:
- Booth Inclusions: Your booth is sold as raw space only. Furniture, including tables & chairs, drape, and temporary floor covering, such as carpet, is not included in your booth fees. We recommend bringing your own items or ordering these in advance through our General Contractor, Grit Expo.
- EXHIBITORS CAN NOT USE ANY TYPE OF TAPE, ADHESIVES, NAILS, SCREWS, VELCRO to adhere their flooring directly to the stadium floor.
- The Grit Desk will be located near the market cafe.
- Exhibitors must submit their Certificate of Insurance in advance. Exhibitors that do not have these forms on file with show management will not be allowed to set up their booth until forms are submitted.
- Move-Out:
- Friday, January 10 | 2:00pm – 7:00pm (Absolutely no early move-outs allowed.)
- In-Booth Catering Orders are due December 20th.

Move-In Overview
The new convention center offers three access points to the exhibit hall:
1. Advanced Shipping
Due to other events happening in the hotel, only one loading dock will be available during move-in. Therefore, all freight must be shipped in advance to Grit Productions for a more efficient and cost-effective move-in process.
- Shipping Dates: Freight can be sent to the Grit Warehouse between now and December 20. The warehouse will be closed from December 21 to January 1, but it will accept final advanced freight on January 2 & 3, 2025.
- Warehouse Hours: Open from 9:00 a.m. to 4:00 p.m. during the designated dates.
- Important: All items must be palletized. Non-palletized items will incur special handling charges.
2. Lobby Access
If you’re arriving with only a few suitcases or rolling cases, you may enter through the main hotel entrance. The elevator to the hall is just inside the lobby. Please note: Carts or dollies are not allowed in the lobby, and valet staff will enforce this rule.
3. Privately Owned Vehicle (POV) Access
Exhibitors bringing materials in their own vehicles and not requiring a forklift or pallet jack may park on the exhibit hall floor for up to one hour to unload by hand or with a small cart. Space is limited to four vehicles at a time, so please unload within the hour. Vehicle height cannot exceed 8′ high and trailers are not allowed (due to the ramp entrance). Exceeding the one-hour limit will require assistance from Grit, with a $75 cart fee per cart, per trip. We recommend using suitcases or rolling cases to transport exhibit materials directly to your space.

The market will take place in the level 1 Exhibit Hall at the Loews Arlington Convention Center, located in the Loews Arlington Hotel.

Parking is available at the Loews Hotel for $18 per day (on event days only) and $28 per day on set-up days.
Free parking may be available at the Texas Live! across the street. No overnight parking is allowed.
